Privacy Policy

Personal Information Protection Policy

The Company recognizes the importance of the personal information it handles in conducting business, namely the provision of various solutions related to direct marketing, and has set the following policy for personal information protection in an effort to ensure proper handling and protection.

  • 1. The Company shall comply with laws and regulations, country guidelines and other regulations concerning the handling of personal information in all businesses and as it pertains to employees. In addition, the Company shall formulate a personal information protection management system in compliance with the Japan Industrial Standards “Personal Information Protection Management System—Requirements” (JIS Q15001) in order to protect personal information.
  • 2. With regard to the acquisition and use of personal information, the Company shall designate the purposes for using said personal information and shall not handle it in a manner that exceeds that required to achieve the designated purpose of use (use for purposes other than the original intent). In addition, appropriate control measures shall be established to prevent use for purposes other than the original intent.
  • 3. The Company shall not disclose acquired personal information to a third party except with the permission of the individual, or as required by law.
  • 4. If the Company receives complaints or inquiries regarding the handling of personal information, the Company shall quickly investigate the facts of the matter and respond in good faith within a rational time period.
  • 5. The Company shall establish organizational, personnel, physical and technical safety measures to appropriately manage the acquired personal information and shall work to prevent and rectify personal information leaks and loss, as well as harm caused an individual’s reputation.
  • 6. The Company shall continue to review its personal information protection management system in consideration of changes in societal circumstances and environment, to improve the handling of personal information protection.

Handling of Personal Information

1.Purposes of use of personal information

The Company uses personal information as required for the following operations and to achieve the purposes of use.

(1) Operations

  • (i) Services related to mail order business and various types of consulting
  • (ii) Services related to marketing surveys and planning
  • (iii) Service revisions or improvements, new service development

(2) Purposes of use

Personal information obtained by methods other than directly in writing from the person themselves (from another business operator, when entrusted with various operations as part of the Tri-Stage mail-order business).

  • (i) For customer contact operations (call centers, campaign secretariats, etc.), data entry and data processing, aggregation and analysis operations involving personal information.
  • (ii) For the printing and binding of printed material containing personal information.
  • (iii) For the enclosure and dispatch of details containing personal information.
  • (iv) For the production of products (programs, printed material, etc.) containing personal information.
  • (v) For direct mail name and address printing.

Personal information obtained directly in writing from the person themselves (including electronic and electromagnetic recording methods).

  • (i) For Tri-Stage recruitment screening.
  • (ii) For worker employment management.
  • (iii) For business negotiations using business partner information acquired from business partners and third parties.
  • (iv) For information regarding new Tri-Stage service features, information updates, campaigns and other services provided by Tri-Stage (including the dispatch of emails, leaflets, and other types of direct mail).
  • (v) For making contact as necessary regarding Tri-Stage service maintenance, important notices, etc.
  • (vi) For responding to inquiries from users regarding Tri-Stage services.
  • (vii) For reporting Tri-Stage service usage status to users.
  • (viii) For requesting cooperation with questionnaires and interviews regarding Tri-Stage services, participation in various events or reporting the results of these efforts.
  • (ix) For the investigation and analysis of Tri-Stage service usage history, the results of which are used to improve and develop our services and advertisement distribution.
  • (x) For the identification of users who violate Tri-Stage service agreements and refusal of service to users who intend to utilize our services for fraudulent or unreasonable purposes.

2. Shared use of personal information

The Company shall take the necessary procedures set forth in the Personal Information Protection Law at times of shared use of a customer’s personal information.

3. Outsourcing of personal information

The Company may outsource customers’ personal information to an affiliate for the implementation of services to achieve the aforementioned purposes of use. In such cases, the Company shall bear responsibility for necessary oversight on selection of an entity that undertakes appropriate measures regarding personal information protection.

4. Provision of personal information to a third party

The Company shall not supply personal information to a third party without the prior consent of the individual concerned except in cases stipulated by law, cases set forth in 3. above and the following cases.

5. Procedures concerning request for notification, disclosure or other treatment of purposes of use for personal information subject to disclosure

The Company shall take the requested action regarding disclosure or other treatment of personal information subject to disclosure by way of the following procedure.

(4) Identity verification

  • The Company will need to confirm identity through an appropriate method based on the content of the submission.

  • The following fee shall be paid based on the content of the submission.
  • ・Fee: ¥1,000 per case
  • Please enclose a postal money order to the amount if making a submission by post.
